Map the workflow before you add AI

Most small businesses don't have an AI problem. They have a workflow problem that nobody has written down yet.
Start with one recurring task
Pick something that happens every week: answering the same customer questions, turning notes into a proposal, or chasing unpaid invoices. Write down each step, who does it, and where the information lives.
Look for the friction
- Where does work wait on one person?
- Where is information copied from one place to another?
- Where do mistakes usually happen?
Those points are where a tool — AI or not — is most likely to help.
Then choose the tool
Once the steps are clear, it becomes easier to judge whether you need a feature in software you already pay for, a small custom tool, or no new tool at all.
